HeadBox has launched a redesigned corporate booking platform and expanded into 10 more North American cities, taking its service to 100 cities worldwide and opening a new office in New York.

The updated platform is aimed at enterprise clients that use HeadBox to plan, book and manage meetings and events. It now remembers individual booker preferences and company event history, allowing venue recommendations and booking workflows to reflect previous choices instead of starting each search from scratch.

Artificial intelligence now supports the process from capturing a brief and sourcing venues to comparing proposals and completing bookings. HeadBox has also introduced what it describes as an agentic layer for smaller repeat bookings, designed to automate routine tasks while learning from previous booking outcomes, including venue selections, responses and confirmed events.

Human staff still oversee decisions that require judgement. HeadBox is positioning the update as a hybrid model that combines automated processes with event specialists.

Ali Lord, Chief Executive Officer of HeadBox Australia, said the changes were intended to reduce the time clients spend on repetitive work while extending the same system across a broader international network.

"Our clients have always come to HeadBox to save time, and our new platform takes that even further. It's smarter than ever, learning how each team likes to work and handling repeatable bookings automatically. And now it does that across 100 cities worldwide, so wherever our clients need to meet, the same intelligent experience and local expertise come with them," said Ali Lord, Chief Executive Officer of HeadBox Australia.

Platform update

The product was tested in a beta phase across HeadBox's major enterprise customers. According to the company, every user in that trial described the new system as a significant improvement on the version it replaces.

Andrew Needham, Founder and Global Chief Executive Officer of HeadBox, said the business was shifting the role of its platform within customers' event operations.

"Today the HeadBox platform moves from a system of record to a global system of intelligence for meetings and events. For event planners, this means elevating their day-to-day roles by removing administrative and operational work so they can focus on the things that really matter: creating exceptional events," said Andrew Needham, Founder and Global Chief Executive Officer of HeadBox.

Gavin Spurling, Chief Technology Officer at HeadBox, set the changes against a broader competitive backdrop in event technology. He contrasted older providers with newer AI-led entrants and said HeadBox was relying on historical booking data as well as automation.

"AI has transformed meetings and events. Legacy players can't keep pace, and AI-first newcomers bring speed without expertise, which just means faster mistakes. We've chosen to be AI-smart. A decade of booking data is helping turn our platform into a system of intelligence that remembers your team, your preferences and every event you've ever run, and learns from it. The result is the intelligence of an AI-smart platform with the judgement of human experts, so every booking is faster, sharper and more personalised to the person making it," said Gavin Spurling, Chief Technology Officer at HeadBox.

North America push

The geographic expansion adds Washington DC, San Francisco, Austin, Philadelphia, Houston, Orlando, Montreal, Chicago, Boston and Las Vegas. The move builds on HeadBox's existing presence in North America and will be supported by a New York office.

HeadBox identified North America as a key market because of the scale of business meetings and events in the region and because some of its enterprise customers now operate internationally.

Grace Louisy, Head of North America at HeadBox, said the new office would support the company's presence on the ground as more cities are added.

"North America is the biggest meetings and events market in the world, and as more of HeadBox's enterprise clients become global, we need to be there with them. I'm delighted to be setting up our New York office and going live today in 10 more cities, with another 30 in North America coming onboard before the end of the year," said Grace Louisy, Head of North America at HeadBox.

HeadBox was founded in 2015 and says it has helped book more than 500,000 events across six continents. It says it works with more than 100,000 venues worldwide and has served more than 150,000 bookers.

The latest expansion marks a further attempt to build an international meetings and events network while tying growth to a booking system that stores customer preferences and past event data. The new booker experience, the North America city expansion and HeadBox's room blocks technology are now live.
